What the Office of Student Activities has to Offer
Hours: Monday through Friday, 8am-5pm
We’re here for
you! The Office of Student Activities has everything your
organization needs to be successful at Whittier. We can help you
gain more members, advertise more effectively, and also dispense
valuable information.
Resource
Center:
OSA offers a resource center for all registered student
organizations. Students can make copies, fax documents, make
banners, blow up balloons, and enlarge posters for a small fee. This
can be paid in cash or be charged to an organization’s on-campus
account. Additionally, for no charge, OSA provides computers with
state-of-the-art graphic design software and access to the internet.

Travel:
When
students in your organization travel off-campus (whether that be
for a few hours to Los Angeles to see a play or go to a museum,
or camp overnight in Joshua Tree National Forest for the annual
Star Party), they must sign required travel forms and waivers.
This is to ensure that 1) students are aware of any inherent
risks that may be involved with the trip, 2) all necessary
safety precautions are taken by the College and the advisor
attending the trip, and 3) the event has appropriate insurance
and liability coverage. It is imperative that you complete these
forms and submit them to the Office of Student Activities
prior to your event.

Travel Agenda
and Roster
must be completed for every registered student trip off campus.
Driver Release forms
must be completed if Whittier College students will be driving
their own vehicles to and from the event.
Student
Release Waivers
are to be completed if the activity/event involves risky
physical activity (rock climbing, snowboarding, etc.), if the
destination is further than a 2 hour drive, or if the event is
overnight.
Overnight
Event Agreement Forms may be required if Whittier College
students will be spending the night off-campus.
The Poet Guide: This comprehensive policy and resource guide
is essential for all student clubs and organizations. The Poet Guide
includes information on forming and registering student groups,
working with your advisors, finding money and the process for
planning events, a detailed policy manual, and campus information on
student traditions and the resources available to help your student
organization successful. The Poet Guide is distributed to every club
president at the start of the academic year. The 2005-2006 Poet
Guide is available here. An
updated version of The Poet Guide will be available online soon.
Mailboxes: Every student organization has a mailbox located in
the Office of Student Activities. Make sure to check it often.
Financial Statements, Fundraising Opportunities and other key
information are placed in the boxes.
Event Planning
Forms:
As of
September 1, 2006, paper Event Planning Forms will no longer be
used. Please download the instructions for using the EMS electronic
event management system here. If you have questions about the
EMS system, or have lost your password, please contact OSA at
562-907-4986 or at
osa@whittier.edu.
Event Planning Worksheet: Planning an event? Use this handy
worksheet to make sure you’re staying organized. This worksheet is a
great tool to use as a pre-planning activity when you’re still
trying to figure out what your event will look like, or to use when
you’re reserving rooms, working with OSA to contract speakers or
performers and it will make sure you don’t forget to advertise!

Publicity:
Please remember to follow the Whittier College Publicity Policies
when publicizing your organization
or your event. Non-Whittier College groups need to get their
publicity approved at OSA before it can be posted on campus.
Local Resources: Click here to see a list of local vendors to help your organization
plan events. There are local restaurants, grocery stories, copy
centers, Tshirt shops, shopping malls, party supply stores and more.
Finally, the staff members of the Office of Student Activities are
available to meet with individual students or groups for
consultation. By considering the characteristics and situation of a
particular organization, the staff can help identify and solve
problems specific to that group, as well as give advice to make your
organization/event more successful. This personal attention is
sometimes necessary for creating more dynamic organizations.
