Where are my email messages stored? Is my email kept private? Your email data is stored securely at Google, and not on Whittier College servers. Google's policy states that it will not share data with third-party entities; exceptions may apply in certain cases, such as law enforcement. Google reserves the right to access email data for purposes of maintaining system integrity and troubleshooting.

Will Google protect me from spam and viruses in my email? Yes. In addition to spam filtering handled on the Whittier College campus, Google's spam filter protects your Gmail account from spam. Messages flagged as spam are delivered to your Gmail "Spam" folder and are automatically purged every 30 days.
Google also blocks email messages that contain viruses in attachments.
Note: Google blocks executable files (e.g., .exe), even if they are sent in compressed formats (.zip, .tar, .gz, etc.).
Are there advertisements displayed with my Gmail account? No. As an educational institution, Whittier IT Services has disabled advertisements for all Gmail users.
How long will Google keep my email messages? Email messages in student Gmail accounts are retained for up to 12 months. Messages older than 12 months may be automatically deleted in accordance with institutional data retention policies. Users are responsible for saving any important messages prior to this timeframe.
What if I need to recover a message that I accidentally deleted from my mailbox? Once a message is deleted in Gmail, it is sent to the Trash folder. From the Trash folder, a message can be restored to the Inbox. After 30 days, messages are permanently deleted from Trash and cannot be recovered by Whittier IT Services or Google.
Instead of deleting messages, you may use the Archive feature to remove messages from your Inbox while keeping them accessible.

Do all students have Gmail accounts? Yes. Enrolled students and new students receive Gmail accounts with email addresses in the format: @poets.whittier.edu.
Do staff and faculty have Gmail accounts? No. Due to confidentiality and e-discovery requirements, staff and faculty do not use Gmail accounts. Their email addresses are in the following format:

How long will my Gmail account remain active Student Gmail accounts remain active for 12 months after separation from the College (e.g., graduation or withdrawal). After this period, accounts may be deactivated and all associated data, including email, may be permanently deleted.
Users are strongly encouraged to back up or transfer any important data prior to account deactivation.
